What is the role of Secretary on Strata Council?

Unsure of your role as the Strata Council Secretary? Here are a few things that you could do:

  • The Secretary’s role is to ensure that administrative functions are happening as they should be.
  • The secretary would record minutes for any Council meetings or AGM’s, or delegate this task to the management company, and then review/ edit the minutes for accuracy.
  • Create a list of “Action” items/ directives from Council meetings
  • Ensure that minutes get posted in a timely fashion for owners to review. These could be on a web portal, or in a lobby, elevator, etc.
  • Ensure that contracts, depreciation reports, insurance documents, etc. are available, and stored in a safe and accessible place for easy access. This could be on site, or more likely in a digital portal.
  • Creating notices for the owners
  • Ensuring that owner records are kept up to date

This list is by no means exhaustive, but will give you a few ideas as to what you could expect if you have volunteered for the role of Strata Council Secretary.
